About the Role

 

We are seeking an experienced Operations Manager to oversee the systems and processes that power our team and create efficiency. This person will build scalable workflows and help drive the operational backbone of the agency.

 

Job Description

 

As CookIt’s Operations Manager, you’ll be a vital part of the agency’s day-to-day work — keeping our internal systems running smoothly, supporting our leadership and accounting teams, and ensuring our creators have what they need to thrive. This is an ideal role for a highly organized, proactive person who loves systems, thrives on efficiency, and enjoys wearing many hats.

 

Key Responsibilities

 

Operational Support

  •  Manage day-to-day operational workflows
  • Develop and refine SOPs for contracting, billing, and campaign execution
  • Monitor KPIs, identify inefficiencies, and drive operational improvements
  • Collaborate with accounting on budgeting, forecasting, and revenue tracking
  • Evaluate and implement new tools or vendor platforms
  • Support the EVP and CEO with administrative tasks, including scheduling, meeting coordination, and documentation
  • Help organize and document team meetings and company offsites
  • Assist with travel planning and other logistics as needed
  • Partner with the CEO and EVP on strategic planning and growth initiatives

 

Team + Talent

 

  • Coordinate new team and talent onboarding: Schedule kickoff meetings, assist with account set-up and gather key information (payment details, bios, assets, etc.)
  • Maintain and update our shared calendars (team, roster, and CEO)
  • Support the recruiting process by posting jobs, organizing interview schedules, collecting feedback, and tracking candidate progress

Systems & Processes

  • Help maintain and organize CookIt’s internal tools and systems (Google Drive, Slack, July, etc.)
  • Keep internal process documentation up to date and easy to access
  • Support training sessions or how-to guides for staff on key tools and processes
  • Surface inefficiencies or blockers and propose improvements

Finance & Admin Support

  • Act as the internal point of contact for our accounting team, ensuring smooth communication and timely follow-through
  • Help track invoices and accounts receivable: send reminders, update trackers, and ensure accurate documentation
  • Monitor shared budget and expense reports, flagging discrepancies or delays
  • Assist with reporting, trackers, and internal performance metrics
 
Who You Are
 
  • 1–3 years of experience in operations, coordination, or administration (agency or creator experience is a plus)
  • Extremely organized, reliable, and detail-obsessed
  • Strong communicator who thrives in a collaborative, fast-paced environment
  • Comfortable juggling multiple priorities and shifting deadlines
  • Tech savvy and quick to learn new tools (familiar with Google Suite, Slack, Airtable/Asana, July, etc.)
  • Energized by supporting others and building systems that make people’s lives easier

What Success Looks Like (First 90 Days)

  • You’re fully up to speed on our systems and tools, able to support the team with confidence
  • New hires and new talent are onboarded smoothly and on schedule
  • Invoices, payments, and financial trackers are accurate and up to date
  • Internal documentation is organized and easy to navigate
  • The EVP and CEO feel supported and informed, with meetings, calendars, and projects running smoothly
